Account balances file
The file Account balances (account_balances) gives the balance of each account at the cutover date of a migration. The rows go into the lines Account balances of the draft opening balances.
Rules of the rows
- The company must be Migrating, and the opening balances must be a draft.
- Write one row for each posting account with a balance. Write the amount in
debitor incredit, not in both. A row without an amount gives a warning, and the system ignores it. - For an income or expense account, write the balance of the current fiscal year to the cutover date. Put the income and expenses of the earlier years in the balance of the retained earnings account. When the cutover date is the last day of a fiscal year, the income and expense accounts have no balance.
- Do not write these accounts: the control accounts of the customers, the suppliers and the employees (their balances come from the open items), the opening balance clearing account and the migration differences account.
- Write the stock accounts with their balances. A stock account takes no manual entry, so the system writes the balance on the opening balance clearing account, with the stock account in the line text. Each such row gives a warning. The opening balances of the stock module clear this balance later.
- When the lines do not balance, the system adds one rounding line on the migration differences account. A rounding line above the tolerance needs an approval.
- Caution: A new file replaces all the lines of the earlier file.
Rules of the file
- Row 1 has the column names. Do not change them. The data starts on row 2.
- Write the data on the sheet "account_balances". The system reads the sheet "account_balances", or else the first sheet.
- A column that is not necessary can stay empty. You can remove a column that is not necessary.
- A file can have at most 100,000 data rows and 20 MB. Put more data in more than one file.
- Codes and other text: write them as text. Excel keeps a code such as 001 only in a text cell.
- Y means yes and N means no. A list column takes more than one value, separated by ";".
- Do not write formulas. The system reads the values only.
